Subscriptions Log

The subscription log lists all subscriptions in all states separately, including multiple subscriptions per user if applicable and canceled or expired subscriptions. There are three reports available here. The main report is the Subscription Log GUI. The other two, Subscription Daily Details and Subscription Summary, are downloadable reports.

How do I read the Subscriptions Log GUI?

To view details about a particular subscription, click the arrow to the far right of the row and select an option from the dropdown menu.

To filter the subscription list, you can adjust the search term, subscription status, date type and date range. You can produce lists that can be downloaded.

At present, the filter system isn't always intuitive for publishers. These are some of the filters:

Get all new Subscriptions within a time frame

  • Set the first filter to ‘Active’
  • Set the second filter to ‘Creation Date'
  • Returns all new subscriptions created in the time frame

Get all Canceled Subscriptions within a time frame

  • Set the first filter to ‘Cancelled’
  • Set the second filter to ‘Update Date’
  • Returns all Cancelled subscriptions within the time frame

Get all Subscriptions with Payment Errors within a time frame

  • Set the first filter to ‘Expired Due to Payment Error’
  • Set the second filter to ‘Update Date’
  • Returns all subscriptions with a Payment Error

Get all the Expired Subscriptions

Expired subscriptions can not be pulled directly at present. There is no filter for this item. In order to get Expired subscriptions, you need to first dump all of the subscriptions, then filter the results in spreadsheet software.

  • Set the first filter to ‘All subscriptions’
  • Set the second filter to ‘Create Date’
  • Set the time frame for the life of the account or greater
  • EX: Start Date - 1/1/2013 Finish Date - Today
  • Download the .csv
  • Sort by Status
  • Look for group that is ‘expired’

Why is Payment failure status important?

The payment failure status does not include subscribers who are in the grace period. It only includes those subs whose cards have been declined after the grace period is over.

The drop down state that does fluctuate on a daily basis for users who are in the grace period is “Failed- will retry.” Users will only be in this state for a brief period of time once billing has failed and it is waiting to be retried. Otherwise, they will remain in the “Active” status until the card is officially declined at the end of the grace period.

What do the items in GUI do?

Subscriptions list

The number that appears next to Subscription list reflects the total number of results that were generated based on the criteria used for the report.

Search allows you to filter results by Subscription ID or Customer email.

Filter - ‘All Subscriptions’

This Filter will reduce the Subscription list based on the provided parameters. Expired customers are not available in the filter list at present.

  • All Subscriptions - this returns every value
  • Active - the subscription is currently in the State Trial or Active. The Status of the subscription is Active. If a subscription is in Trial, it means that the Status of the subscription is Active, but the total charge for the transaction is 0.00.
  • Cancelled - the subscription is currently in the State Cancelled. The Status of the subscription is either Cancelled or Cancelled & Refunded. If the subscription is in a Cancelled State, the Cancellation Date of the subscription is noted.
  • Failed - Will Retry - the last time that a billing was attempted for a subscription, the payment failed. The system will try to rebill the customers that are in this State.
  • Expired Due to Payment Error - the subscription has expired due to a payment failure. The State of the subscription is 'On Hold.' The Status of the subscription is 'Payment Failure.'
  • Completed - the subscription has finished, and was not renewed. This only applies in situations where automatic renewal is not enabled. The State of the subscription is Completed. The Status of the subscription is completed.

Subscriptions that are Expired are in the State Expired, with a Status of Expired. This means that the Subscription was not renewed. Currently, this is not available as a filter option.

Filter - ‘Update Date’

This field applies one of four date-based filters to the report. The default is 'Update Date', which filters against all of the available date fields.

  • Update Date - this filters against the Start Date , Next Bill Date , and Last Billing Date of the subscription. If a date appears in one of those three fields, it will appear in the report.
  • Creation Date - this filters against the Start Date of the subscriptions. Filtering by Creation Date returns all values that fit the time period chosen for the report.
  • Next Bill Date - this filters against the Next Bill Date of the subscriptions. Filtering by Next Bill Date returns all values that fit the time period chosen for the report. This is typically more of a 'future focused' field to query against.
  • Last Bill Date - this filters against the Last Bill Date of the subscriptions. Filtering by Last Bill Date returns all values that fit the time period chosen for the report.
MMM DD, YYYY - MMM DD, YYYY

This is the date range for the report, based on a simple start and end date by day. This date range is fed into the Filter - 'Update Date' selector to generate the needed data.

Download

This downloads either the Subscription Details report or Subscription Daily Summary in .CSV format.

ID

This is the Subscription ID for an individual subscription.

Customer

This is the email address of the end user who is associated with this subscription.

Resource

This is the name of the content package the Subscription is accessing, as defined by the publisher.

Summary

The summary is a a quick outline of the type of Subscription category that this belongs to, with additional verbose information. This helps you see at a glance what category of subscription exists, and whether the offer initially included a trial.

Started

This is the date that the Subscription started.

Next Bill

This is the date that the end user who paid for a recurring Subscription will be billed.

State

This is the current State of the subscription. Refer to the section Filter - 'All Subscriptions' for a breakout of all the available State fields.

What reports can be downloaded?

There are two reports that can be downloaded from the Subscriptions Log

Subscription Log Daily Details

The Subscription Log Daily Details report is an expanded version of the information available in the GUI. Whatever results are displayed in the GUI will match the results in the Subscription Details report that's downloaded. The format for this report is .CSV.

ID

This is the Subscription ID for an individual subscription.

User

This is the email address of the end User who is associated with this subscription. It's synonymous with 'Customer' in the GUI.

First Name

This is the first name of the end User who is associated with this subscription.

Last Name

This is the last name of the end User who is associated with this subscription.

Resource Name

This is the name of the content package the Subscription is accessing, as defined by the publisher. It's synonymous with 'Resource' in the GUI.

Resource ID (RID)

This is the ID of the content package the Subscription is accessing, as defined by the publisher.

Start Date

This is the date that the Subscription started. It's synonymous with 'Started' in the GUI.

Status

This is the current Status of the subscription. Refer to the section Filter - 'All Subscriptions' for a breakout of all the available Status fields. This is not necessarily synonymous with 'State' in the GUI.

Price

This is the cost of the Subscription Term. This value should match the value of the Term in the Transactions Log.

Summary

The summary is a a quick outline of the type of Subscription category that this belongs to, with additional verbose information. This helps you see at a glance what category of subscription exists, and whether the offer initially included a trial. This is synonymous with 'Summary' in the GUI.

Total $ Charged

This is the total amount of money charged against this Subscription. The value is determined by multiplying the Price by the Charge Count for an individual subscription. In this sense, it tracks the lifetime value of an individual subscription.

Total $ TP Fees

This is the total amount of any fees deducted from the Publisher for this individual subscription. In the case of most publishers, this value would always be zero.

Charge Count

This is the total number of times that a subscription has been renewed. For example, if a customer has had a monthly recurring subscription for 4 months, the Charge Count would equal 4.

Total $ Refunded

This is the total amount of money refunded back to the customer who paid for the subscription.

Total $ Of TP Fees Refunded

This field reflects the total amount of any fees that were deducted from the earnings for this particular subscription, related to any refunds. In the case of most publishers, this value would be zero, since the fees charged to the Publisher would be zero.

Last Billing Date

This is the last date that the customer who paid for the subscription was charged.

Next Billing Date

This is the date that the end user who paid for a recurring Subscription will be billed. It's synonymous with 'Next Bill' in the GUI.

Renewed

This indicates whether the subscription has been actively renewed by the customer. The possible values are Y and N. If the value of Renewed equals Y, the Next Billing Date will always have a value. If the value of Renewed equals N, the Cancellation Date will always have a value.

Cancellation Date

This is the date that the Subscription was cancelled.

Converted From

This indicates what the end user converted from when the subscription was initiated. In most cases, there will be no value present, since most subscriptions will come from users purchasing an initial subscription, and thus Converting from nothing.

Term ID

This is the system ID for the term to which the subscription has access. Term ID is your Product ID

Term Name

This is name for the term to which the subscription has access. Term Name is your Product Name

User ID (UID)

This is system generated User ID to which the subscription is associated.

User Access Expiration Date

This is date, presented in MM/DD/YYYY HH:MM:SS, when the subscription access would end.

Subscription Trial End Date

This is date, presented in MM/DD/YYYY HH:MM:SS, when the subscription trial access period would end.

Subscription Grace Period Start Date

This is date, presented in MM/DD/YYYY HH:MM:SS, when the grace period for a subscription would start.

Auto Renew Enabled

There are two possible values for this. If the value is TRUE, then the system will automatically try to renew the subscription in question. If the value is FALSE, then the system will not automatically renew the value in question.

Campaign Code

If the subscription was enabled via a campaign code, the value for the code will appear here.

Device

This is a generic user-agent value of the device that was used when the subscription was activated. The available values are desktop, tablet, and mobile.

Offer Template ID

This is the system ID of the Offer Template that was used when the subscription was acquired.

Offer Template Name

This is the Name of the Offer Template that was used when the subscription was acquired.

City

This is the city listed in the billing address for the subscription.

Promo Code

If the subscription was enabled via a promo code, the value for the code will appear here.

State

This is the state listed in the billing address for the subscription.

Country

This is the country listed in the billing address for the subscription.

URL

This is the URL where the subscription was acquired.

Subscription Daily Summary

The Subscription Daily Summary is a summation of subscription information on a daily basis. It only utilizes the 'MMM DD, YYYY - MMM DD, YYYY' field in the GUI to determine what values to display. Each day within the referenced time frame will be displayed in the report. No other filter is applied or works with this Summary. The values reported in this Log should match the Subscription Details report under two conditions: (1) the same date range is used for both reports; (2) the Subscription Details report is set to show All Subscriptions.

Date

This is the date for an individual summary.

Total $ Of New Subscriptions

This is the total dollar value of New Subscriptions sold within the day.

$ Of TP Fees For New Subscriptions

If any fees were charged to the Publisher on this day, the total value will be represented here. For most publishers, this value should be zero.

# Of New Subscriptions

This is the total number of New Subscriptions sold for the day. The value can be derived from the subscription Daily Details report. Each subscription where status = active and date range of the Start Date is within selected date range will be counted as a New Subscription in this report.

# Of New Trial Subscriptions

This is the total number of New Subscription trials started for a given day.

# Of Subscriptions Canceled

This is the total number of cancelled subscriptions for the day. This value can be derived from the subscription Daily Details report. Each subscription where status = cancelled or cancelled & refunded and date range of the Start Date is within the selected date range will be counted as a Subscriptions Cancelled value in this report.

# Of Subscriptions Failed/Expired

This is the total of payment failures in a day. In this case, a subscription has expired, and the payment renewal attempt has failed. This value can be derived from the subscription Daily Details report. Each subscription where status = expired or payment failure and date range of the Start Date is within the selected date range will be counted as a Subscriptions Cancelled value in this report.

Total $ Of Subscriptions Refunded

This is the total dollar value for any refunds given in the day for a particular subscription.

$ Of TP Fees For Subscriptions Refunded

If any fees were charged to the Publisher for a subscription, and the Subscription is refunded, the total value of any fees charged to the publisher will be represented here. For most publishers, this value should be zero.

# Of Subscriptions Refunded

This is the total number of subscriptions that were refunded in a given day.

Total $ Of Subscriptions Renewed

This is the total dollar value of any renewed subscriptions for the day.

$ Of TP Fees For Subscriptions Renewed

If any fees were charged to the Publisher for a subscription renewal, the total value of any fees charged to the publisher will be represented here. For most publishers, this value should be zero.

This is the total number of Subscriptions that were renewed on a given day.
