Email Manager

To use the email manager, there are a few straightforward tasks to complete:

  • Designate a support email (that Notifications will be sent from and users can respond to), For example: [email protected]
  • Setup an SPF record so Piano can send emails on behalf of your domain
  • Enable DKIM, which increases deliverability, you should create a TXT record for mandrill._domainkey.publisher.com with the following value:

If you don't have an SPF record, you'll need to add one for your domain. At a minimum, the value should be the following if you're only sending mail through Mandrill for that domain:

v=spf1 include:spf.mandrillapp.com ?all

If you already have a TXT record with SPF information, you'll need to add Mandrill's servers to that record by adding

include:spf.mandrillapp.com

in the record (before the last operator, which is usually ?all, ~all, or -all).

Email Template Overview

Piano gives you the ability to send emails to your users when they perform actions such as subscribing and canceling - as well as emails that get sent on a certain schedule, for instance a certain number of days before or after a user's access is going to expire.

Using per-term email templates allows you to further customize the emails a user receives on a per-term basis. This allows you to, for example, send one type of messaging to users that subscribe to the monthly term with a trial and separate messaging to those that subscribe to an annual term upfront.

Default Email Templates

All of the default email templates that can be configured are located under Manage → Email manager.

The Email manager contains the full list of templates that Piano can send. All of the scheduled emails begin with “X Days before/after event” and have an additional configuration for the number of days before/after to send the email.

To enable an email, click to toggle on the right side of the page until the toggle is green. This indicates that the email will be sent.

Overriding Emails Per-Term

If you want to customize the email that Piano sends for a particular term, click on Manage → Terms and click on the particular term you're interested in customizing the emails for. Click on the Email templates tab. This will show the list of emails that you can customize.

Click the green toggle next to an email to turn on the per-term overridden email and to customize the messaging.

If you don't override an email, the email under Email manager will be sent instead.
